Program Proposal Template

Please complete and e-mail your program proposal to the Director of Yale Summer Session (YSS) Programs Abroad at kelly.mclaughlin@yale.edu in accordance with the timeline below. Proposals for new programs must be received at least 18 months in advance of the summer in which the program would be slated to run.

Note: Instructors should collaborate with Yale Summer Session (YSS) on ALL steps listed below.

Contact YSS about proposal idea June - October 2025
Develop program concept with support from DUS June - October 2025
Identify program location(s) and institutional partners/providers in the host country June - October 2025
DEADLINE: Submit program proposal to YSS Programs Abroad Director October, 2025
Meet with YSS to discuss proposal (including concept, logistics, tentative dates) November 2025
Finalize program length and dates January 2026
Request costs for facilities, housing, and meals from on-site providers January 2026
Site visit to location (faculty and YSS) January - February 2026
Develop program and course syllabi (minimum of 2 credits / up to 4 credits for L1/L2 or L3/L4 language + culture course) January - March 2026
YSS will negotiate MoU or contract(s) with on-site providers March - April 2026
DEADLINE: Course syllabi submitted to Course of Study for approval April, 2026
Develop prospective program budget to confirm feasibility July 2026
YSS final review for approval July - August 2026
Work with YSS to develop program webpage and finalize program budget August 2026
YSS will open program webpage for students September 2026
Promote program September 2026 - January 2027
Finalize student guidebook October 2026 – January 2027
Student application opens December 15, 2027
DEADLINE: Student application closes February, 2027
Admissions review and decisions made March 2027
Conduct pre-departure orientation for students and attend instructor pre-departure meeting April - May 2027
Program begins Summer 2027
